How to Book a Walk-In Appointment

When a client arrives without an appointment, use the walk-in feature to quickly check them in and book their service. This takes just seconds!

Quick Steps

  1. Click the time slot on your calendar
  2. Toggle “Walk-in” at the top of the form
  3. Select or add the client
  4. Choose the service
  5. Click “Book Appointment”

Done! Your walk-in is automatically checked in and ready for service.

Step-by-Step Guide

Step 1: Open Your Calendar

Click the Calendar icon in the sidebar to view your schedule.

Step 2: Click the Time Slot

Click on the time when your client arrived. For example, if they walked in at 2:15 PM, click the 2:00 PM slot.

💡 Tip: Don't worry about the exact minute. You can adjust the arrival time later if needed.

Step 3: Enable Walk-In Mode

At the top of the appointment form, toggle the “Walk-in” switch to ON.

This tells EstheticSense that the client is already at your location, so they won’t receive booking confirmations or reminders.

Step 4: Select the Client

Choose the client:

  • Existing client: Start typing their name and select from the dropdown
  • New walk-in: Click “Walk-in Customer” to book without entering details
  • Guest with details: Enter their name, phone, and email

Step 5: Add the Service

Click ”+ Add Service” and select what they’re getting today (e.g., “Classic Facial”).

You can add multiple services if they’re getting more than one treatment.

Step 6: Click “Book Appointment”

Click the “Book Appointment” button at the bottom. That’s it!

What Happens Next?

  • ✅ Client is automatically marked as “Checked In”
  • ✅ Wait time tracking starts (so you can see how long they’ve been waiting)
  • ✅ Appointment appears on your calendar

No problem! After booking, you can adjust the “Arrived at” time in the appointment details. Just click on the appointment and change the check-in time.

No, walk-ins are for same-day arrivals only. For future appointments, use the regular booking flow instead by keeping the “Walk-in” toggle OFF.

Do walk-ins get appointment reminders?

No, reminders are automatically skipped for walk-ins since they’re already at your location. This saves you from sending unnecessary messages.

What if I don’t know what service they want yet?

You can book the walk-in with a placeholder service (like “Consultation”) and update it later once you’ve discussed their needs.

Can I add more services after booking?
