How to Block Time on Your Calendar
Block time on your calendar to reserve hours for lunch breaks, personal appointments, admin work, or time off. Blocked time prevents clients from booking during those hours.

Quick Steps
- Click and drag on your calendar to select the time range
- Select “Block Time” from the menu
- Add a reason (e.g., “Lunch Break”)
- Click “Block Time”
✅ Done! That time is now blocked and unavailable for booking.
Step-by-Step Guide
Step 1: Open Your Calendar
Click the Calendar icon in the sidebar to view your schedule.
Step 2: Select the Time Range
There are two ways to select time:
- Click and drag: Click on the start time and drag down to the end time
- Single click: Click once for a 30-minute block (you can adjust the time later)
💡 Tip: Click and drag for precise control over your blocked time range.
Step 3: Choose “Block Time”
When the appointment form opens, click “Block Time” at the top of the form.
This is different from booking an appointment—you’re just reserving the time for yourself.
Step 4: Add a Reason (Optional but Recommended)
Enter why you’re blocking this time. Common reasons:
- “Lunch Break”
- “Meeting with Supplier”
- “Admin Work”
- “Personal Appointment”
- “Closing Early”
⚠️ Note: The reason is only visible to you—clients won't see why time is blocked when booking online.
Step 5: Click “Block Time”
Click the “Block Time” button to save. The time will now show as blocked on your calendar.
What Happens Next?
- ✅ Time appears as blocked on your calendar (usually with a different color)
- ✅ Clients cannot book appointments during blocked time
- ✅ You can see your blocked time reason when you click on it
- ✅ You can edit or delete the block anytime
Common Use Cases
Daily Lunch Break
Block 12:00 PM - 1:00 PM every day so you always have time to eat.
Reason: “Lunch Break”
Closing Early
Block 3:00 PM - 5:00 PM on days when you need to leave early.
Reason: “Personal Appointment” or “Closing Early”
Admin Time
Block 1-2 hours per week for paperwork, ordering supplies, or business planning.
Reason: “Admin Work”
Full Day Off
Block your entire work day (e.g., 9:00 AM - 5:00 PM) when taking a day off.

Can I block time in advance?
Yes! You can block time weeks or months in advance. This is perfect for scheduling vacations or planned time off.
How do I edit or delete blocked time?
Click on the blocked time on your calendar, then click “Edit” or “Delete Block.” You can change the time range or reason, or remove the block entirely.
Can I block the same time every week?
Not automatically yet (recurring blocks are coming soon!). For now, you’ll need to create a separate block for each week. However, this only takes a few seconds per week.
What do clients see when time is blocked?
When clients try to book online, blocked time simply won’t be available as an option. They won’t see your reason for blocking—it just shows as unavailable.
Can I still manually book during blocked time?
Yes! If you need to accommodate a client during blocked time, you can manually create an appointment. You’ll see a warning that time is blocked, but you can override it.
